This sample methodology explains who is counted, which evidence is accepted, how duplicates are prevented and how published outcomes are corrected.
It should be specific enough for staff to apply consistently and simple enough for a family to understand.
Eight public terms with one approved sample meaning
Official evidence first; testimonials supporting only
One student counted once per published metric
Public correction date, reason and version note
The methodology should be stable across years, specific enough to audit and easy for a parent to understand without specialist knowledge.
Every term used in a result headline has an approved written definition.
Every published record can be traced to an accepted evidence source.
Students are not counted twice within the same metric without explicit disclosure.
Errors are corrected visibly with date, reason and version history.
The definitions below are fictional examples showing the level of precision expected on a production methodology page.
A student with a confirmed admission record, assigned student ID and valid fee or scholarship document by the reporting cut-off date. Cancellations before the first teaching week are excluded.
Required fieldA student enrolled for at least six months with access to regular teaching, tests and mentoring, and at least 60% recorded participation unless absence is documented under the approved exception rule.
Required fieldA student with official or directly verified evidence of sitting the relevant examination. Absent, withdrawn or unverified students remain in enrolment totals but not in the appeared denominator.
Required fieldA student meeting the official qualifying threshold published by the examination authority for the stated academic year. Qualification is reported separately for each exam and category where relevant.
Exam-specificA student with verified counselling allotment, admission letter or fee receipt for the named institution or program. Eligibility alone is not reported as selection or admission.
High scrutinyA student who purchased only assessment access without regular teaching or mentoring. These students appear in a separate test-series category and are never merged into full-course outcomes.
Separate classChange between a defined baseline and a calibrated follow-up assessment on the same scale or mapped blueprint. Reporting requires at least three valid data points and a disclosed complete-data denominator.
Statistical ruleAttributed to the centre or mode delivering more than 50% of scheduled teaching hours. When no mode exceeds 50%, the student is classified as hybrid; transfers are disclosed in the internal record.
Attribution ruleThe same four gates are applied to every sample record so inclusion does not depend on who happens to review it.
Confirm the student record and exam result refer to the same person.
Assign full course, short course, online, hybrid or test series only status.
Verify the outcome using an approved primary or corroborating source.
Apply public naming, image and testimonial permissions before publication.
The illustrative hierarchy below prioritizes official evidence and limits personal-data retention to what is necessary for verification and audit.
Official result portal, scorecard, rank letter, allotment or admission document.
Student-submitted document or verified account view checked by an authorized owner.
Enrollment record, attendance, mentor log and program classification supporting attribution.
Useful as corroboration, but not sufficient as the only evidence for a high-stakes result claim.
Sample control: scorecards are stored in an access-restricted register, retained for three academic years and never exposed publicly with personal identifiers.
A simple evidence register is more valuable than a large collection of unsorted screenshots, spreadsheets and posters.
Receive the record through an approved form or controlled staff workflow.
Assign year, exam, program, center, delivery mode and student category.
Check evidence and identity; record the verifier, date and evidence grade.
Review the public wording, denominator, consent and potential duplication.
Display the claim with methodology link, last-reviewed date and correction route.

Publish a correction route, define material versus minor changes and preserve a version note for significant revisions.
Provide a public email or form for students, parents and reviewers to question a result record.
Assign an owner, protect the disputed record from further promotion and review the original evidence.
Update the record, state the date and nature of material changes, and notify affected channels.
